Bike Events Privacy Policy

Bike Events Ltd. is registered with the ICO and is committed to protecting and respecting your privacy and complying with the requirements of the General Data Protection Regulation GDPR
This policy sets out how we process any personal data we collect from you, or that you provide to us. The personal data that we hold allows us to communicate with our customers and to administer your taking part in our events. For the purpose of the Act the Data Controller is Bike Events Ltd, Royal Oak House, Royal Oak Avenue, Bristol BS1 4GB.

INFORMATION WE COLLECT FROM YOU
Information that you provide by filling in forms on www.bike-events.co.uk (the “Site”) or paper entry-forms when applying to participate in our events. This includes your name, address, phone and e-mail address and other details provided when you register for our rides, posting material or requesting further services. We may also ask you for information when you report a problem with the Site. If you contact us, we may keep a record of that correspondence. We may also ask you to complete surveys that we use for research purposes (although you do not have to respond to them), details of your visits to the Site and the resources that you access. If you make any purchases via the Bike Events website, the card transactions will be made through Sage Pay and Bike Events will receive no details of your credit/debit cards.

WHERE WE STORE YOUR PERSONAL DATA
Bike Events Ltd. will take all steps reasonably necessary to ensure that your data is treated securely and in accordance with this privacy policy, we will use strict procedures and security features including password protection and back-ups to try to prevent unauthorised access. Where we have given you (or where you have chosen) a password which enables you to access certain parts of the Site, you are responsible for keeping this password confidential. We ask you not to share a password with anyone. The transmission of information is at your own risk as the internet is not completely secure.

USES MADE OF THE INFORMATION
Bike Events will only use personal information to provide you with products and services purchased relating to the Site and to share with the charity sponsor of each individual ride, as appropriate. The data is used in ways which customers would reasonably expect on joining an event, purchasing tickets or requesting information. The legal basis for holding and processing this information is ‘legitimate interest’ or ‘consent’ under GDPR. We use information held about you in the following ways:
• To carry out our obligations arising from any contracts entered into between you and us.
• To ensure that content from the Site is presented in the most effective manner for you and for your computer.
• To provide you with information, products or services that you request from us, or which we feel may interest you, where you have consented to be contacted for such purposes.
• To allow you to participate in interactive features of our service, when you choose to do so.
• To allow the charity associated with the event to contact you if you have nimated a charity or unless you choose otherwise
• To notify you about changes to our service. If you do not want us to use your data in this way please tick the relevant box situated on the form on which we collect your data.

IP ADDRESSES AND COOKIES
We may collect information about your computer, including where available your IP address, operating system and browser type, for system administration and to report aggregate information to our advertisers. This is statistical data about our users' browsing actions and patterns, and does not identify any individual. For the same reason, we may obtain information about your general internet usage by using a cookie file which is stored on the hard drive of your computer. Cookies contain information that is transferred to your computer's hard drive. You may refuse to accept cookies by activating the setting on your browser which allows you to refuse the setting of cookies. However, if you select this setting you may be unable to access certain parts of the Site. Unless you have adjusted your browser setting so that it will refuse cookies, our system will issue cookies when you log on to the Site.

OUR COOKIE POLICY
Cookies enable us to identify your device, or you when you have logged in to your member dashboard. We only use cookies that are necessary to enable you to log in to your account without having to re-enter your data each time. We don’t sell the information collected by cookies, nor do we disclose the information to third parties. Our website contains links to other websites such as Facebook, charity pages, advertisers and cycling shops and manufacturers who will have their own policies regarding cookies. If you don’t want to receive cookies, you can modify your browser so that it notifies you when cookies are sent to it or you can refuse cookies altogether. You can also delete cookies that have already been set. If you wish to restrict or block web browser cookies which are set on your device then you can do this through your web-browser settings; the Help function within your browser should tell you how. DISCLOSURE OF YOUR INFORMATION
We may disclose your personal information to third parties only if we are under a duty to comply with any legal obligation, or in order to enforce or apply our TERMS OF USE and other agreements; or to protect the rights, property, or safety of Bike Events Ltd., our customers, or others and to allow the official charity (if any) associated with any events to contact you, unless you choose otherwise. This includes information for the purposes of fraud protection and credit risk reduction. We will not pass your details to third parties for any marketing purposes. We will keep your personal data as required to fulfil our statutory obligations but will not retain it for longer than six years. The Site may, from time to time, contain links to and from the websites of our partner networks, advertisers and affiliates. If you follow any of these links, please note that they have their own privacy policies. Please check these policies before you submit any personal data to these websites.

ACCESS TO INFORMATION
At any time you can contact us to request that we:
• Stop holding or processing your personal data;
• Correct or update the personal data we hold about you;
• Erase your personal data;
• Restrict or stop the way we use your data;
• Request access to the personal data we hold about you, either for your own use or to transfer to another organisation of your choosing;
• Unsubscribe from email newsletters at unsubscribe


CHILDREN Children aged 16 or under wishing to take part in our events and so provide personal details to Bike Events must get their parent/guardian's permission to do so.

CHANGES TO OUR PRIVACY POLICY
Any changes we may make to our privacy policy in the future will be posted on this page and, where appropriate, notified to you by e-mail. 21 May 2018.
